Homes for Haringey have an excellent opportunity for an Estate Business Support Co-coordinator in our Estates and Neighbourhood Services team.

This role provides high quality project management, performance monitoring, system development, customer care, administrative and support services to the Estates & Neighbourhood Services Team, ensuring the service continuously improves and strives for excellence in all areas.

You will be working alongside the whole of the Estates & Neighbourhood Services team to improve the way we manage and maintain the communal areas on our estates and in our blocks. With the aim of ensuring Homes for Haringey estates receive excellent service and value for money from all providers both internally and externally.

Skills and Experiences

We are looking for a strategic and effective individual who can manage and prioritise their own workload whilst utilising a range of skills to deliver high quality work consistently under pressure. The individual must demonstrate a sympathetic understanding of the needs of our customers in all their work, including an awareness of the needs of disadvantaged, vulnerable and/or minority groups. The ideal candidate will demonstrate relevant knowledge and experience of improvement work and administrative duties. The successful candidate will be able to communicate effectively, work constructively with external and internal partners, develop/review policies and procedures and utilise IT systems to achieve high quality results such as OHMS, GGP, SharePoint, Word, Excel and PowerPoint. Duties and responsibilities To be responsible to the Parking & Projects Manager for the provision of high quality customer care, project, administrative and support services. Provision of timely support to the Estates & Neighbourhood services management as required. Develop an innovative and customer focused approach to continuous service development and improvement that responds to the needs of our estates and neighbourhoods. To assist the organisation to ensure risks are noted from every source, including but not limited to; routine inspections, customer reports, safety checks etc. To manage multiple records of risk reports ensuring that in a timely and accurate manner new reports are recorded, data is reconciled, duplications removed and any updates or revisions noted. Develop mitigation plans for addressing risks utilising specialist support and Monitor progress against each action to completion including validating the outcome by sourcing auditable evidence (i.e. photos etc.). To produce performance and/or analysis reports on any activities, trends, issues relating to estate services as directed by the Parking & Projects Manager, liaising with all relevant parties to ensure the integrity and accuracy of the data at all stages. Drive improvement in Estates & Neighbourhood Services by leading on, and contributing to, high priority improvement projects, utilising Project Management tools e.g. Risk registers, Project plans, Critical Path Analysis, Flow Charts etc. To undertake special project work as directed which may include working with IT and operational colleagues to develop new reporting/analysis/monitoring systems and or service delivery procedures. Work with other service providers, internal or external, to ensure the delivery of any tasks and actions required to support the effectiveness of estate and neighbourhood management, including but not limited to; Customer Services, Housing Information Management, Estate Services, Neighbourhood Improvement, Tenancy Management, Resident Engagement, Leasehold Services, Haringey Repairs Service, Health & Safety, Fire Safety and Asset management. Essential Experience Experience with project work or service improvement. Knowledge and skills Experience of working constructively with a range of external and internal partners Experience of involving service users in service monitoring and development Proven ability to develop innovative solutions to problems Experience of developing and reviewing policies and procedures Experience of instilling a customer focus in an organisation Experience of establishing value for money Experience of writing comprehensive reports for a wide audience Knowledge and experience of using both standard office and specialist Housing IT systems including but not limited to; OHMS, SharePoint, Word, Excel, PowerPoint etc. Able to understand the requirements of legislation and guidance and translate these into action Ability to manage and prioritise your own workload, demonstrating the effective skills needed to deliver work consistently under pressure. Ability to work with minimum supervision, show initiative and make decisions and work effectively and flexibly as part of a team. Sympathetic approach to the needs of customers including an awareness of the needs of disadvantaged and/or minority groups.
